Residential Property & Development Coordinator (Portfolio & Operations)
Cheltenham | Full-Time | £30,000–£35,000 DOE
Our client is a fast-moving property investment and residential development business, managing a substantial rental portfolio alongside multiple active planning and development projects.
They are seeking a highly organised, proactive individual to support both the operational management of their portfolio and the coordination of ongoing development activity. Working closely with the Director and Executive Assistant, this role is central to keeping projects, communication and administration running efficiently.
This is not a corporate environment. The position is based in a small, professional office within the Director’s home in Cheltenham, so it will suit someone who is self-sufficient, practical and comfortable working in a close-knit team.
The Role
This is a varied, hands-on position combining executive support, development coordination and residential portfolio administration (400+ units).
You will play a key role in ensuring projects stay on track, information is well organised and day-to-day operations run smoothly.
Key Responsibilities
- Supporting the Director and Executive Assistant with daily administration and organisation
- Managing emails, drafting correspondence and responding where appropriate
- Coordinating documentation for planning and development projects
- Maintaining structured digital filing systems for properties and projects
- Preparing and updating Excel trackers
- Liaising with consultants, planners and contractors
- Tracking deadlines, actions and follow-ups across multiple developments
- Assisting with diary management, meetings and travel arrangements
- Preparing reports, documents and project summaries
- Supporting the smooth day-to-day running of the office
Property Portfolio Responsibilities
- Assisting in the management of a large residential portfolio (400+ units)
- Liaising with letting agents on tenancies, renewals and compliance
- Coordinating maintenance works and monitoring completion
- Tracking property compliance (EPC, gas, EICR, licensing, etc.)
- Supporting tenancy documentation and record keeping
- Monitoring rent, arrears and service charge matters with the accounts team
- Assisting with issue resolution between tenants, agents and contractors
- Maintaining accurate, up-to-date digital property records
About You
- Highly organised and calm under pressure
- Able to manage multiple priorities independently
- Confident using Outlook, SharePoint and Excel
- Comfortable working closely with senior stakeholders
- Practical, reliable and detail-focused
- Takes ownership and follows tasks through to completion
Previous experience in residential property, lettings, block management or a related field (development, construction, planning or estate agency) would be highly advantageous.
