The Role
To work with the lettings team to achieve targets, dealing with legal documentation ensuring that all tenancies are compliant and helping to build the brand in the local marketplace.
·Dealing with telephone and face to face enquiries and providing high levels of customer service at all times.
·Pre-qualifying applicants and arranging viewings
·Supporting the lettings team with administrative duties, issuing terms of business to landlords, carrying out any checks to comply with legislation.
·Negotiating new tenancies with landlords and tenants.
·Processing tenant references and right to rent checks
·Preparing tenancy agreements, issuing legal documents relating to the tenancy and ensuring that all safety certificates are in place prior to move in.
·Working with the property management team ensuring that properties have been prepared for move in.
·Booking and arranging inventories
·Ensuring a smooth hand over of keys and that tenants have a positive experience during the application process.
·Managing own workload and emails
·Carrying out viewings if needed to support the lettings team
 
Skills & Experience
·Up to date knowledge of current lettings legislation and landlord / tenant laws is desired but not essential
·Excellent time management and organisational skills
·Strong administrative skills with an attention to detail especially when dealing with contracts
·Confidence in dealing with a variety of people both in face, over the phone and in person
·Able to work as part of a team and alone.
·Strong written and verbal communication skills.
·Articulate, professional and well accustomed to a client facing role
·Working knowledge of Microsoft packages and good keyboard skills
·ARLA qualified or willing to work towards an ARLA qualification.
·Experience of working in a fast paced, busy environment.
·A positive and adaptive attitude to help the team achieve their goals.

Property Manager

Our client seeks a high calibre experienced Property Manager for their offices in Stratford Upon Avon.
 
The Role
This role is to manage a portfolio of residential properties ensuring that high levels of service are offered to their clients and to support the lettings team in growing and retaining business.
·Acting as the main point of contact for their tenants and landlords who require support throughout the duration of their tenancy.
·Coordinating maintenance and repairs, liaising with landlords, tenants, and contractors.
·Building and maintaining relationships with their clients and delivering exceptional customer service.
·Ensuring that all properties comply with current legislation (EPC’s, Gas Safety Certificates, Electrical Safety Certificates, PAT Testing)
·Negotiating end of tenancy deposit releases and handling disputes
·Managing and organising own inbox and answering telephone calls
·General administration tasks such as processing contractor invoices
·Supporting the Lettings team during busy periods with office cover and phone support.
·Keeping accurate records and notes on our systems to maintain audit trails.
·Liaising with the inspection clerk to ensure landlords are provided with feedback swiftly.

Job Context:
 
The overall aim of the Head of Property Management is to oversee all aspects of Property Management for the company as the senior point of contact for the department.  The head of property management is responsible for making sure that Property Management is handled effectively throughout the team, that all standards are maintained in accordance with the business vision, and all complaints & escalations are handled quickly & effectively.  
 
Primary Task:
 
The primary task of the Head of Property Management is to achieve the aims and objectives of the companies Property Management department by carrying out the key tasks relating to the day to day running of the company.
 
Job Content Key tasks:
 
·Assisting in ensuring departmental targets are achieved within the property management department relating to safety & complaints.
·Co-ordinating Property Management team.
·Manage own portfolio of properties.  
·Instructing maintenance and safety related property attendance by contractors
·To have an understanding of changes to legislation & government regulation, including HMO, and ensuring all aspects of their activities comply with those regulations.
·Building relationships with colleagues and clients.  Especially focussing on landlord relationships & ensuring expectations are met, and managed effectively.

·Responsible for running the Summer maintenance drive for Studenthomes – co-ordinating the team in planning maintenance, inventories, cleaning etc, to ensure a smooth Summer process.

·Working alongside New Business / Lettings Manager to ensure refurbishments are carried out and properties are brought up to standard across the board.
