Head of Property Management

Our client seek a highly experienced and proficient Head of Property Management to join their team.
 
Main Purpose of the role:
 
-Lead the Property Management team to achieve the customer service, compliance, retention and renewal revenue targets
-Lead the team to follow the Customer Journey and to make sure the processes and procedures are maintained to the agreed standards
 
Experience and qualifications required:
 
-ARLA qualified – to level 4 but preferably level 4
-Previous property management experience
-Previous managerial experience
-Professional written and verbal communication skills
-Able to work on own initiative, as well as part of a team
-Good time and diary management

Key tasks and responsibilities:
 
-Ensure the entire portfolio is managed to an agreed standard that delivers  exceptional customer service
-Review inventories being carried out- making notes on areas that need attention or improvement
-Ensure the team liaise with their landlord on a regular basis, keeping good rapport and maintaining a high level of service
-Undertaking property visits and advertising the client of any required work  (by way of visit rapports with supporting photographs within 48 hours) - Working to a strict 6 monthly rota as a minimum
-Ensuring gas and electrical checks are undertaken in a timely and compliant manner, along with any remedial works if required
-Co-ordinate matters between landlords and tenants
-Providing landlords with professional advice in relation to ensuring their properties are compliant and in good repair ensuring this is recorded on Qube
-Deal with check-outs and prepare reports with supporting photos using the software provided
-Liaise with accounts department in relation to the return of deposit and disputes
-Liaise with accounts department and tenants and landlords regarding rent arrears
-Serve complaint notices with full audit trail
-Ensure the team undertake rent reviews and renewals within the agreed timescales- this must be reviewed and understood where lapses have occurred
-To be an escalation and deal with department complaints in accordance to procedure
-Work with existing landlords to increase their portfolios
-Ensure the team are converting periodic tenancies to a fixed term
Review and source contractors making sure invoices are signed off and sent to accounts within 7 days
 
Additional responsibilities:
 
-Arrange cover for portfolios when short staffed
-Be involved in the department recruitment process as and when the need arises
-Carry out department appraisals and follow ups
-Deal with any department HR issues after consultation with the Branch Manager orr Managing Director
-Ensure full and concise inductions are undertaken for all new employees in an effective manner
 
Measurable outputs:
 
-100% compliance
-NPS scores of 50 or above
-All property visits to be up to date, 6 weeks after start of tenancy and 6 monthly there after
-50% of the portfolio renew their tenancies
-Rent arrears no more than 4%
 
Decision making authority:

-Hold a clean full driving license
-Have use of own car during working hours
-Be able to work Monday-Friday and every 4th Saturday

Lettings Coordinator

Due to ongoing growth, our client is seeking a Lettings Coordinator to join their team.
 
Responsibilities:
 
- To provide the most effective and accurate administration for all tenancies
- To assist the Head of Administration in routine auditing to maintain compliance both to industry and Company standards
- Ensure effective communication and provide administrative support to clients, tenants and inter branch teams
- To adhere to and maintain Company required standards and Reapit procedures at all times.
 -Work as a team with the whole Administration department including Accounts Manager
- To achieve individual and team targets and personal goals
- To understand Company values and implement them positively each day
- Work with Head of Administration to implement systems and processes to achieve exceptional service standards at all times
- To ensure the co-ordination of new or renewed tenancy conforms to current legislation including but not limited to De- Regulation Act, Tenant Fee Ban and Deposit Protection
 
You will be responsible for;
 
- Working within a team, managing the tenancy paperwork for all new tenancies, renewals and any variations to contracts
- Ensure tenancy agreements are created correctly, ensuring all special clauses are added to the tenancy agreement
- Administering the Change of Sharers and Early Terminations in line with Company processes and industry compliance
- Ensuring tenancy agreements for new tenancies are executed within 15 days (unless otherwise agreed) in line with industry compliance
- Creating and service of legal notices on behalf of clients to tenants in line with industry compliance  
- Loading references to the companies chosen referencing agent, chasing these with the tenants, ensuing that the reference for each tenant and guarantor is satisfactory
- Collecting First month’s rent and deposit for all tenancies ensuring cleared funds are received prior to move in.
- Creating and renewing Rent Warranty Policies and charging correctly to clients
- Ensuring Rent Warranty Policies are cancelled in line with tenancies ending for properties going for sale or returning to client
- Registration and protection of deposits and service of supporting documents in line with industry compliance
- Release deposits for Let Only and Rent Collection tenancies and closing down registrations  
- Managing the landlord billing account for council tax and all utilities for all change over tenancies
- Processing billing invoices for clients to ensure prompt payments are made to the relevant authorities
- Conduct regular audits as part of a team to ensure the Company remains industry compliant as well as Company standards for processes and policies are met.  
- Actively participate in office meetings
- Prepare for office meetings to discuss arranging tenancies, scenarios and contributions towards improvements and adapt to change
- Support and cover all members of the admin team in times of absence
- General tasks as in structured by the head of Administration and Senior Management
- To be responsible for your own learning and keep up to date with legislation
