Lettings Tenancy Manager

£20000 - £28000 per annum

Main Purpose of the Job:
Contribute to the successful letting and management of instructed properties by providing excellent customer service and negotiation skills at all time. Pursue all new instruction opportunities and pass to valuer. Maintain database and ensure accuracy of data. Book viewings, process applications and help pull together everything prior to move in. Manage house visits and carry them out reporting to the landlord and following up accordingly, safety certificates and repairs etc and check outs. Ensure adherence to all due diligence and regulatory policies and procedures. Meet all goals and objectives agreed with line manager.

Relationships:
Reports to: Lettings Director / Lettings Manager
Works with: Team members

Main tasks:

·Assist with office reception / provide office cover
·Deal with booking of all types of appointments, i.e. viewings and valuations
·Register tenants
·Provide property information
·Attend viewings when required
·Follow up all viewings, record detailed noted on Jupix and provide feedback to landlord clients when required and on Saturdays
·Receive, record and present all offers received. Negotiate on offer on landlord's instructions on Saturdays
·Provide best informed advice on all offers to landlord
·Inform line manager of progress and any issues in a timely manner
·Organise key security
·Ensure all legal regulation on file e.g. gas certificate, EPC, PAT and instruct if necessary
·Update file notes and history on Jupix
·Organise safety certificates - ordering if necessary but managing the dashboard and keeping up to date
·Organise and carry out house visits and report accordingly to the Landlord and follow up repairs/quotes.
·Organise and carry out check outs, negotiate disputes and deposit refund including accounting for dilapidations etc.
·Attend relevant training sessions to maintain current knowledge of government legislation
·Cross sell and promote other brand services.
·Keep desk and reception area tidy at all times
·Maintain a high standard of dress code - smart, office wear with formal shoes.

The Role will include:

• Support of all areas of the business
• Manage and set KPI’s and annual objectives
• Deliver monthly 1-2-1’s with the team
• Day to day running of the office including line management
• Report to managers weekly, monthly and yearly

Lettings Management:
• Create and manage tenancy agreements
• Ensure correct advertisement of properties and rents
• Oversee marketing channels including social media accounts and events
• Develop and maintain great relationships with landlords

Property Management:
• Organise and conduct check outs/ins, cleaning and Inventories
• Updating staff and landlord on legislation changes including compliance audits
• Recruitment and management of landlords
• Oversee any maintenance or customer service issues

Duties:
·Advertising properties, vetting applicants and arranging viewings
·Processing property lettings, dealing with tenancy applications and renewals
·Organising inventory’s, check-ins and check-out
Requirements
·Must have a minimum of 1 years proven experience is a similar role in the property industry.
·Have excellent communication skills and proficient at drafting professional emails
·Advanced knowledge of Microsoft Office (Word, Excel, and Outlook)
·Have an eye for detail, be organised and ability to multi-task
·Ability to work effectively in a fast-paced and pressurised environment

This reputable brand is looking to recruit an established valuer who can win instructions at a competitive fee level and at a realistic price. You will have overall responsibility for carrying out market appraisals, you will be passed leads from the team but must be prepared to self generate, as well as cross sell associated products such as financial services and Conveyancing.
The role is targeted on both conversion rate and fee.
