Our client is a quality firm in Stratford Upon Avon and they now seek an experienced Property Manager for their busy offices.
Purpose of the role
To manage a portfolio of residential properties, to act as a key contact for landlords and tenants who require your support throughout the course of their tenancy ensuring that the best interests of their customers are at the heart of everything that they do.
·Attending and participating in morning meetings ensuring that you are prepared with the required reporting figures.
·Processing tenant references and new applications through the platform.
·Preparing move in documents for new tenancies ensuring that all pre-let works are completed and all legal documentation is served.
·Ensuring that all tenancies are legally compliant and have appropriate safety documentation in place at the start of the tenancy and upon renewal.
·Coordinating repairs and maintenance both routinely and on an ad-hoc basis when reported by a tenant or prior to a tenancy commencing.
·Conducting routine property visits, producing a report of your findings and feeding back to the landlord.
·Identifying opportunities for landlords to maximise their assets through refurbishments and upgrades.
·Communicating with colleagues in other areas of the business on a regular basis to allow a smooth transition for our clients.
·Dealing with incoming and outgoing calls and emails efficiently and professionally.
·Serving legal notices accurately and promptly when required.
·Chasing overdue rent payments, managing tenant arrears and ensuring the landlord is kept informed of any arrears during the tenancy.
·Arranging end of tenancy check out reports, assessing the reports and advising landlords on appropriate deposit deductions within the specified time frame.
·Negotiating with tenants and landlords the allocation of a tenants’ deposit at the end of the tenancy to minimise disputes and release deposits within the required time frame.
·Compiling a case file for deposit disputes as and when required.
·Negotiating tenancy extensions and rent increases and issuing renewal documents.
·Competent user of Microsoft Outlook and Jupix software.
·General knowledge of basic household tasks to assist with trouble shooting maintenance problems.
·Understanding of deposit legislation and the dispute process.
·Understanding of landlord obligations both statutory and contractually.
·Knowledge of notice periods and service of notices.
·Understanding of their terms of business and tenancy agreements and how these apply in day to day management.
·Be an effective communicator both written and verbal with an ability to demonstrate empathy and understanding in sensitive situations.
·Ability to prioritise and manage your own time and work load efficiently, meeting deadlines where required.
·Work well with other colleagues both within your direct team and other areas of the business.
·Be a strong negotiator to minimise the number of deposit disputes occurring following the termination of a tenancy.
·Have confidence in your ability to make decisions and think outside the box to come up with suitable solutions to problems.
·Able to use computers and other technology confidently.
·Clear, concise and organised planning with strong administration skills.
·Have a keenness to learn and adapt with an ever changing environment and industry.
