A market leading and long-established firm in Plymouth are seeking a Lettings Office Manager to join their busy office. This is a rare and varied role and will suit a polished and highly experienced property professional with several years’ worth of Lettings experience as this is an extremely large property portfolio. The client will consider an experienced Lettings Administrator who is looking at taking the next step in their career. Salary in the region of £30,000 per annum.
The role of the Office Manager is to oversee the steady running of the day-to-day operations of an office. This position involves ensuring coordination between relevant departments, ensuring that no staff members are overloaded with work, keeping track of absences and expenses and developing staff through training and refining processes to improve efficiency and the overall customer experience.
The Office Manager will be tasked to update and examine Standard Operating Procedures (SOPs), investigate delivery shortfalls and function as a trouble-shooter. They also have a role in coordinating staff secondary duties, dealing with customer complaints and resolving disputes in the office.
Duties to include but not limited to:
·Liaising between departments, ensuring that each is operating effectively with one another. Where necessary deconflict and resolve any disagreements
·Delegate tasks to relevant team members in conjunction with departmental heads
·Formulate and implement various management initiatives and decisions
·Support the directors with HR matters – including payroll, manning, leave, staff rosters and periodic appraisals
·Attend and where necessary chair inter-departmental meetings, ensuring that agendas are applied, and action points followed
·Provide staffing support to relevant departments during shortfalls / periods of absence
·Provide the lead on the delivery and oversight of all elements of staff training
·Seek to identify areas for improvement, re-design processes to improve efficiency and implement change
·Manage Strategic Partnerships – Move With Us / I am Sold / Agent Referrals
·Oversee various financial service offerings and renewals – to include the rent warranty
·Identify options for Business Generation – support initiatives to develop relationships
·Coordinate new-joiner induction programmes
·Act as the point of contact for providing second-line complaint responses
·Oversee and provide quality control for all sales particulars
·Support the development of performance monitoring, metrics and KPIs
·Facilitate the conditions in which processes are optimised so that departmental heads and other staff are able to operate to their full potential
·Support the directors with any other tasks and projects as appropriate
·Polished and well presented

·Positive `can do` attitude
·A full and clean UK Driver’s License.
·Recent experience in Residential Lettings is essential
·Excellent communications skills both written and verbal
·The ability to develop and motivate those around you.
·Willingness to exceed expectations through great customer service skills
·Good leadership and management skills
Salary in the region of £27-28,000 basic with on target earnings of £30,000.
