An exciting opportunity has arisen for a proficient part time PA / Office Manager with experience in the property management industry to join an independent commercial and residential agent in either their Exeter or Topsham office on a part time permanent basis with salary of £14ph.
Our client is seeking an Office Manager/Bookkeeper for a busy and broad position that would suit an experienced candidate who enjoys an interesting and varied role. Working in a small friendly family run Property Company based in Topsham and Exeter centre, dealing primarily with residential & commercial lettings, you will be responsible for the varied day to day management of the administration and accounting function of the business and will be the first point of contact to resolve administrative and accounting issues.
You will support the Directors in a variety of PA roles including diary management, travel bookings and additional ad-hoc tasks in the office as required.
You must be flexible and capable of managing a number of tasks at any one time, be self-disciplined with excellent communication and interpersonal skills, including discretion, be action-orientated and a natural problem solver, be able to prioritise and manage your own workload, with the ability to work autonomously and use your own initiative in day to day tasks and adept at navigating (often quickly) changing priorities.
Strong secretarial and book-keeping skills are essential, accounting qualification are not essential, but a good working knowledge of basic Excel spreadsheets and computer based accounting records are required.
Some previous experience/knowledge of property management/lettings essential.
Ability to learn new software packages with ease and some knowledge of Apple technology would be useful, but not essential.
Bookkeeping: monitoring bank spreadsheets; recording invoices paid and rents received; bank account reconciliations; filing of invoices; preparing annual accounts records for accountants.
Clerical administration of property lettings: invoicing tenants; liaising with tenants and trades over property issues; dealing with new tenants moves in/out; liaising with utility providers; processing invoice payments; dealing with expenses; dealing with insurances; general correspondence.
PAYE/Sub Contractors (CIS Scheme): knowledge of weekly payroll and CIS desirable but not essential; verifying sub-contractors; filing of monthly and annual returns on-line.
We have two job share, part time roles amounting to full time hours, one based in Topsham and one in Exeter city centre with ideally each candidate covering holidays / sickness for the other when possible. Salary in the region of £14ph. These are permanent roles.
