Property Marketing Administrator
 
Our client is a leading independent firm of Estate Agents based in St Albans looking to recruit an experienced Marketing Administrator.
 
Based in their prominent town centre office you will responsible for the following:
 
1. Property Related Marketing & Administration
 
·To be responsible for the production of marketing material produced for our clients and for the promotion of the company.
 
·To be responsible for aligning all marketing material with the brand guidelines and to ensure a consistently high quality.
 
·To prepare and publish both paper and digital (PDF) versions of Sales, Lettings, & Commercial property
·details, these to include floorplans where applicable, and to incorporating appropriate photographs. (Microsoft
·Word skills required)
 
·Videos. – To organise and maintain the video library. Monitor quality of output and report any issues to the relevant departmental manager.
 
·Enhance photographs with blue skies, green lawns etc as appropriate. (Basic Photoshop skills required)
 
·Check property descriptions for grammatical errors.
 
·Create and Maintain records within the office back-office CRM system (Reapit) To include Sales, Lettings &
·Commercial: Ensure accommodation summary bullet points are inputted correctly in Reapit. (training will be
·provided if unfamiliar with Reapit)
 
·Sales, Lettings & Commercial: Liaise with vendor/landlord approval for brochure, digital marketing and (Anti
·Money Laundering) AML requirements
 
·Sales & Commercial: Ensure sales contracts are prepared for each property and ensure there is appropriate ID
·& EPC instruction for all properties. Liaise with the appropriate team if any inconsistency.
 
·Create property folders/files in Sharepoint/Teams.
 
·Maintain the window display with up-to-date window cards, including the TV display.
 
·Sales & Commercial: Prepare & send sales invoices on exchange of property.
 
2. Web-based Marketing
 
·Ensure Rightmove, On the Market, Property Link & our own website are continuously updated with accurate information about availability and terms.
 
·Ensure Facebook carousel advertising is updated with new instructions and price reductions. Diarise to review and update daily.
 
·Ensure that the staff section of the CH website is continuously updated regarding staff text & photographs.
 
·Be responsible for updating facebook, Instagram. Linkedin, feeds with approved updates (and any future portals or similar). This to be in line with company vales and messaging.
 
·Liaise with digital marketing company about upcoming initiatives and campaigns ensuring a consistent message throughout all of the channels
 
3. Other Marketing
 
·Collate and prepare copy for newspaper advertising.
 
·Board presence: communicate with the Board Company any changes to board presence. Aim for all properties to have a board erected where permitted by the council/managing agent/vendor. Upon instruction, proactively check sales contract to establish whether permission has been granted. Keep board spreadsheet updated weekly with these changes.
 
·Feefo & Google reviews; proactively liaise with all staff weekly. Client and customer information to be
·uploaded to the Feefo & Google platform weekly.  
 
·Oversee & manage the production & distribution of the canvass & marketing materials. On a weekly basis,
·create, print and arrange distribution of materials. Oversee use of the Folding Machine. Ensure marketing
·materials are not on the ground floor and keep records of distribution for inclusion on monthly KPIS.
 
4. Estate Agency Duties (Ad hoc, when required)
 
·Answering the telephone & message taking, dealing with general enquiries.
 
·Property viewings.
 
5. Administration
 
·Collate KPIs weekly.
 
·Periodically review and order stamps as appropriate, & record department usage.
 
·Periodically review and order company stationery & office supplies; stock take monthly.
 
·Stock up printer paper in the stationary cupboard ready for Monday.
 
·Maintain the printer, organise repairs & servicing, new staff training on usage.
 
·Organise the Christmas staff lunch, with a Director.
 
·Ensure post is sent at the end of each day (4pm).
 
·Ensure rubbish bins & recycle bins are emptied and arrange collection as appropriate.
 
·Perform ad hoc duties at the request of the Manager
