Our quality client in Cheltenham seeks an experienced Lettings Coordinator for their busy town centre offices. Please see below duties and responsibilities-
1.To uphold the core values of the company at all times.
2.To use the computerised property management system and any manual systems required to deliver a high quality property letting and administration service to landlords and tenants and to maintain full and accurate records of properties available and applications in progress.
3.To pay attention to detail when dealing with letting issues verbally or in writing.
4.To ensure that the Lettings Office is tidy and presentable at all times.
5.To add new properties and clients to the computer system and web site.
6.To assist with the updating of web sites and social media sites.
7.To assist prospective tenants in their search for a suitable property.
8.To liaise with property owners during the search for suitable tenants and advise when tenants are found.
9.To process applications from tenants accurately and to inform prospective tenants of the results of reference or other checks speedily and discreetly.
10.To liaise with landlords and prospective tenants over the negotiation of special requests and ensure that these are recorded on file and in the tenancy agreement if necessary.
11.To accurately set up new tenancies on the computer system and to communicate relevant information to other areas of the business.
12.To check that a signed management agreement is held before proceeding with a tenancy.
13.To ensure that information required by colleagues and contractors is available when needed.
14.To inform utility companies of changes in liability before the start of each tenancy.
15.To provide tenants with a Tenancy Agreement on the first day of the tenancy, or at an earlier agreed date.
16.To process the incorporation of new properties into the list of properties available.
17.To maintain web, window and office displays of properties available and liaise with contractors over the siting of letting boards at properties.
18.To monitor the flow of work in the letting department, utilising resources effectively and efficiently to ensure that the service outlined above is consistently delivered.
19.To be aware of how other parts of the business operate and inform colleagues of any issues that may affect their ability to carry out their own work.
20.To bring to the attention of senior management any issues that require their agreement or assistance.
21.To develop and maintain constructive relationships with prospective and current landlords and tenants.
22.To arrange and conduct viewings of available properties and keep records of feedback.
23.To communicate this feedback and other information at regularly to all owners of available properties
24.To visit empty properties as required by insurance policies and to record dates of visits as required by the policy.
25.To visit other properties as required.
26.To assist with the administration of property boards to be erected/removed at/from properties
27.To assist, as required, with the preparation and communication of daily and other property advertisements.
28.To inform colleagues of any issues that may affect their ability to carry out their own work.
29.To be willing to help colleagues in other areas of the business as required.
