Lettings Property Maintenance coordinator – Residential Lettings -  Limited.
First point of contact for incoming calls and visitors to our offices.
 
Primary responsibilities:
Managing property maintenance issues:
Speaking through issues with tenants to find solutions where possible, otherwise to get a good understanding of the problem and fully documenting on our system.
Liaising with landlord to gain permission for works, obtaining quotes as required.
Issuing works order via our Winman CRM system
Keeping track of outstanding works
Liaising closely with contractors and maintaining relationships
Liaising closely with lettings coordinators to arrange works raised after routine property inspections.
Receiving contractor invoices and putting them onto our Winman system.
Requesting funds from landlords prior to commencement of works where applicable.
Saturday Working - Working one Saturday in five weeks, approximately 10am to 3pm, paid as standard hourly rate
Plus being on call between the hours of 5pm and 10pm each night, on each week of the above.  This involves taking our on-call mobile home and keeping it to respond to maintenance issues between 5pm and 10pm.  Very rarely staff are called to the office out-of-hours, for example to give a tenant a key.  Due to this we would require someone living with the Stafford area
 
 
Additionally:
Arranging and entering property viewings, using a central diary system, for our lettings coordinators
Facilitating property viewings on occasion.
There is potential here for any applicant to move up into the role of lettings coordinator after their experience in the maintenance department and company procedures has built up.
 
Attributes desired:
The candidate here will ideally have a fairly good working knowledge of systems present in houses and apartments (heating, plumbing and electrical systems) and have really good common sense, in order to try and determine the cause of issue, and responsibility (i.e. tenant or landlord). 
The candidate must be confident in communicating responsibility to tenants and landlords where required, and be confident enough to inform contractors where works are sub-standard.
Must have a eye for detail as will sometimes be required to assess the quality of works prior to signing off, and inspecting a property in general for issues.
Must be able to keep calm under pressure and maintain professionalism at all times.
 
Wage - £8.72 - £9.00 per hour, working day is 7.5hrs per day with half hour unpaid lunch break.
Weekly on call is paid at £45.00 per week, anticipated to be 10 weeks per year.
28 days holiday (bank holidays are included in this) which can be taken at any time but dependant on office cover.
