Our client seek a highly experienced and proficient Head of Property Management to join their team.
Main Purpose of the role:
-Lead the Property Management team to achieve the customer service, compliance, retention and renewal revenue targets
-Lead the team to follow the Customer Journey and to make sure the processes and procedures are maintained to the agreed standards
Experience and qualifications required:
-ARLA qualified – to level 4 but preferably level 4
-Previous property management experience
-Previous managerial experience
-Professional written and verbal communication skills
-Able to work on own initiative, as well as part of a team
-Good time and diary management
-Bags of initiative
-Proactive and helpful approach
-Flexible and adaptable nature
-IT literate
Key tasks and responsibilities:
-Ensure the entire portfolio is managed to an agreed standard that delivers  exceptional customer service
-Review inventories being carried out- making notes on areas that need attention or improvement
-Ensure the team liaise with their landlord on a regular basis, keeping good rapport and maintaining a high level of service
-Undertaking property visits and advertising the client of any required work  (by way of visit rapports with supporting photographs within 48 hours) - Working to a strict 6 monthly rota as a minimum
-Ensuring gas and electrical checks are undertaken in a timely and compliant manner, along with any remedial works if required
-Co-ordinate matters between landlords and tenants
-Providing landlords with professional advice in relation to ensuring their properties are compliant and in good repair ensuring this is recorded on Qube
-Deal with check-outs and prepare reports with supporting photos using the software provided
-Liaise with accounts department in relation to the return of deposit and disputes
-Liaise with accounts department and tenants and landlords regarding rent arrears
-Serve complaint notices with full audit trail
-Ensure the team undertake rent reviews and renewals within the agreed timescales- this must be reviewed and understood where lapses have occurred
-To be an escalation and deal with department complaints in accordance to procedure
-Work with existing landlords to increase their portfolios
-Ensure the team are converting periodic tenancies to a fixed term
Review and source contractors making sure invoices are signed off and sent to accounts within 7 days
Additional responsibilities:
-Arrange cover for portfolios when short staffed
-Be involved in the department recruitment process as and when the need arises
-Carry out department appraisals and follow ups
-Deal with any department HR issues after consultation with the Branch Manager orr Managing Director
-Ensure full and concise inductions are undertaken for all new employees in an effective manner
Measurable outputs:
-100% compliance
-NPS scores of 50 or above
-All property visits to be up to date, 6 weeks after start of tenancy and 6 monthly there after
-50% of the portfolio renew their tenancies
-Rent arrears no more than 4%
Decision making authority:
-Fee negotiation
Practical requirements
-Hold a clean full driving license
-Have use of own car during working hours
-Be able to work Monday-Friday and every 4th Saturday
