Role Objectives
To effectively and efficiently provide sales, administrative and marketing support to the Manager and Residential Sales team and to provide the highest level of customer service.
 
To work pro-actively to assist both the Agency and the Management team to grow the company’s market share, property stock levels and to continue to raise the Company’s profile across all sectors of the business.  
 
To willingly and enthusiastically promote and progress all sales, advertising and marketing initiatives and where necessary take personal responsibility for specific initiatives as instructed by the management team.
 
Main Duties
·Answering the telephone and dealing with enquiries in a timely manner and dealing with telephone and internet enquiries and booking appointments in the diary for viewings and market appraisals
·Diary management ensuring that appointments are scheduled effectively
·Efficient use of Reapit sales software, ensuring information entered accurately
·To efficiently manage Applicant Registration, to manage the applicant database and to encourage best practice in applicant registration in line with GDPR.
·Arrange viewings and market appraisals, trying to achieve additional viewings on other suitable company properties.
·Update vendors with viewing feedback, liaising with Viewings Co-ordinators and Negotiators.
·To provide full administrative support to Negotiators (Negs) and Agency team, undertaking a pro-active role in the efficiency of the Sales office.
·Creating draft Sales Particulars using wording and photographs provided by the Negs for approval and agreement with the Vendor.
·To put together memorandums of sale to send to Vendors, Purchasers and Solicitors
·Liaising with Sales Progression Manager, to obtain updates from Solicitors, Vendors, Purchasers, Agents and Intermediaries to move sale along.
·You may be asked from time to time to attend company and charity related events, attend company meetings and training meetings, or work from another office/location.
·Any other duties as requested by management
 
Salary:  £23,000 to £26,000 p.a. depending on experience.
 
Hours:  8.45am to 5.30pm Monday to Friday, 9am to 2.30pm one in three Saturdays.  Based in Exeter Topsham office.

The role will involve all manner of lettings admin, dealing with enquiries, negotiating lets, booking and conducting viewings and valuations as well as some inspections, check-ins and any other lettings duties as required.
 
The opening hours for the office are 08:45 to 18:00 Monday – Friday and 09:00 – 15:00 on Saturdays. You will be required to work alternative Saturdays (with a lieu day so a 5-day week) and to also assist with Bank Holiday cover.

Previous lettings and administration experience an advantage and the candidate must be fully IT literate with the ability to work under own initiative and have experience of working in an office environment dealing with clients both face to face and over the phone.
 
The role is to process all the lettings paperwork and administration, deal with clients face to face and over the phone and arrange and conduct some viewings and property inspections. The role will be in and out of the office so you will need your own car (75% in).
 
You must be well presented, of smart appearance, highly organised with an ability to multitask and be able to remain calm and professional under pressure. The role also involves obtaining references for proposed tenants, preparing contracts, arranging inventories, safety certificates and ordering any agreed works, setting up direct debits, diary management, deposit releases and general property management and appointments.
 
Salary IRO £20-25,000 depending on experience (pro rata for part time).
 
Full time Hours are Monday to Friday 8.45 - 5.30pm and some Saturday working will be required on rota, usually one in three. Flexible hours considered but needs to be 30 plus a week.

Part time Lettings Negotiator / Administrator required for friendly Exeter Letting Agency working both in and out of the office and with a salary of £20-24,000 pro rata depending on experience.
 
Our client is an established, friendly, Exeter based firm of Estate & Letting Agents.  They are currently looking for an experienced Lettings Negotiator /Administrator to work in their city centre office.  This will involve all aspects of lettings administration such as preparing tenancy agreements and move in paperwork, references, typing inventories, organising PAT & gas tests, inspection paperwork and check out reports.  You will also be going out on viewings and possibly inspections and check ins/outs. Due to the importance of the role, you will need to be highly organised and be used to working to deadline.  You will have great administration and IT skills and also have worked in a customer facing role as you will also be dealing with landlords and tenants both face to face and over the phone.  You will have a friendly and approachable nature but also be able to deal with sometimes difficult situations in a calm and professional manner.   There is a pool car for over 25's but otherwise you would need your own car.
 
Property experience preferred although not essential, but you will need all the transferable skills required to be able to fit into the role. This is a great opportunity to work in a small and friendly team in central Exeter where no two days are the same.
