As a Property Manager at this progressive property group you are expected to manage the entire process of property marketing, lettings, renewals and increases as well as arrears, possessions and legals of a property. You will be in continual communication with your tenants, landlords, local agents, third parties and maintenance to ensure efficient and timely lettings and management of issues. You will also take responsibility of complaints and see them through to solution or escalation.

·Seek and receive regular updates for Local Agents, assess plausibility of feedback and provide suggested actions.
·Deal with initial Tenant queries, requests to secure tenancy.
·Advise and keep up to date Landlords on the progression of property marketing
·Deal with onsite agents/concierge for access for initial tenancy, inspections, maintenance and ending a tenancy.
·Preparing Tenancy Agreements with standard terms and where appropriate draft adhoc clauses that are required and properly negotiate with tenants and landlords.
·Arrange of handover from Local Agents at the beginning of a tenancy.
·Put offers forward to Landlords in a timely manner
·Undertake tenant referencing and report to landlords the findings.
·Undertake Right-to-Rent checks prior to approving a tenancy.
·Arrange Rent & Legal Guarantee insurance for tenants and landlords.
·Booking inventories and reviewing the results to ensure that proper charges are made where required.
·Arrange for access for Surveyors, Estate Agents and various third parties as required by the landlord.
·Ensure smooth and efficient check in / check outs where possible dealing with issues at change over to minimise maintenance during tenancy.
·Managing end of Tenancies
·Tenant changeover requests handled.
·Ensure parties to the Deposit return negotiations and concluded in a timely manner.
·Furniture, window coverings and fittings selection, ordering, installation, updates and photos.
·Arrange rental tenancy increases in advance including negotiating with Landlords and Tenants to find a suitable increase for both parties.
·Arrange collection of key on handover, inspections and maintenance, where required make a duplicate copy of the key, and ensure the key register is properly updated.
·Arrange ad-hoc and regular inspections to identify maintenance and potential or actual breach of tenancy issues in a timely manner.
·Negotiate renewals of tenancies
·Arrange and oversee for property sales, assignments, and resales
·Arrange and where appropriate undertake reviews of landlord portfolios including where appropriate referrals to professionals
·Update Landlords of Rental report into area/development
·Update Landlords of Valuation reports into area/development
·Update your Landlords on the changes in the market cycles and how it affects their portfolios.
·Provide education and information as required to your Landlords
·Update your Landlords on the effect of rate changes on their portfolios including referrals to panel Mortgage Brokers.
·Update your landlords on the effect of tax changes on their portfolios including making referrals to panel Tax Professionals.
·Where required deal with Block Management to arrange maintenance issues on inspections and check out.
·To keep up to date with Legislation updates and how they affect Tenants and Landlords.
·Ensure compliant and timely initial arrears chasing and management, and where appropriate refer to legal consultants
·Issue appropriate notices and/or pass information to appropriate people when possession is required.
·Inform Landlord of Issues, take responsibility for those issues and ensure appropriate and timely resolution whilst keeping parties up to date of progress.
·Take overall responsibility for landlord complaints and ensure that all parties updated regularly and the investigation is completed in a timely manner.

The position directly responsible for your training is the Team Leader and Head of Lettings. You will also receive support from Management and Board at appropriate stages in your employment.

Personal responsibility plays a large part of this role and the company expects you to take full responsibility for your own learning in addition to the formal and informal training that will be provided from time to time.
It is expected that you will achieve your ARLA Propertymark Level 3 Property Lettings and Management Certificate within the first 12 months of your employment. The company provides support in the attainment of this qualification (see Staff Support for Attaining Qualifications policy).
Continuing Professional Development
As part of your membership to ARLA you must maintain at least the minimum requirements to meet continued membership of ARLA. The company will assist you in this through the provision of time off to attend relevant events including some or all of the financial costs associated with this.
Progression will be from Property Coordinator to Property Manager to Senior Property Manager. Progression through levels requires you to undergo a series of training, courses, exams. These will be outlined at a later date in a separate policy document. You will also have the opportunity to take on management roles as Team Leader and Head of Lettings.
